Sales Invoice & Cash Sale Invoice

Describes the process of creating a Sales Invoice and the process of creating a Cash Sale Invoice

A Sales Invoice supports all warehousing features.

A cash sales invoice is intended for walk-in customers where a purchase order or shipment is not required.

1. Create a New Sales Invoice

Navigate to the Invoice List View, hover the mouse cursor over the dropdown arrow next to the New button, and select "Sales Invoice".

2. Populate the details of the new Sales Invoice

Populate the details of the new Sales Invoice.

The main field to populate is the Account field as this will be used when integrating with MYOB

3. Add New Lines

While still in Edit mode. click on the Invoice Items tab across the top of the detail view.

In this view, choose the Warehouse that the items will come from, then add the lines by clicking on the green plus button. By changing the value in the numerical box you can change the number of lines that will get added.

4. Populate the lines

Populate your new line by entering the following:

  • Item
  • Quantity

You can also change the price per item or the total price.

5. Save the Sales Invoice

Once the invoice is finished click on the Save And View option in the Save action menu.

6. Create a Purchase Order

If you need stock to fulfill the Sales Order you will need to raise a purchase order.

Click the "Create Purchase Order" Action in the Tools menu

Or create a purchase order for each line by clicking the inline action on the Invoice Items tab

7. Select a Supplier

You will need to select the supplier you are ordering the stock from

When you are ready click Create to create the Purchase Order.

8. Locate Purchase Order

You will find the purchase orders raised off a sales order in the "Purchase Order" Tab of the sales invoice

9. Finalize purchase Order

In order to mark the stock on Order you need to click the "Finalize Purchase Order" Action. This will create the transaction to show the items as On Order in the warehouse. It also marks the Purchase Order as Submitted to Supplier.

This can be done from either the Sales Invoice's Purchase Orders tab (in the top picture) or the Sales Invoice Purchase Order screen (in the bottom picture).

10. Send Purchase Order to MYOB

This will create an Order under purchases inside of MYOB

11. Receive Stock

Receive stock to increase quantity on hand in the warehouse

12. Receive Stock Options

In the options window you can change the quantity you have recieved.

13. Convert MYOB Purchase Order to Bill

You can now convert the MYOB Purcahse Order to a bill so that MYOB increases its quantity on hand.

14. Create Invoice in MYOB

To push the Invoice to MYOB Click the "Creata Invoice to MYOB" Action

15. Confirm Invoice Creation

16. Set Myob Invoice layout

Set Invoice Layout to item

17. Invoice to Myob Options

If a Sync hasn't occured since converting the Purchase Order to a bill you will need to click "Update And Check Stock"

18. Ensure Stock available and Confirm

After clicking "Update And Check Stock" you should receive the below message.

Click "Ok" to create the Invoice in MYOB

19. Ship the sales Invoice

To Ship a sales invoice click the "Ship Order" Action under the Tools menu

20. Shipment Options

Under shipment options Populate the relevant fields and click "Save" to create.

21. Finished

You can find the created shipment under the Shipments tab of the Sales Invoice.

22. Create a new Cash Sale Invoice

Navigate to the Invoice List View, hover the mouse cursor over the dropdown arrow next to the New button, and select "Cash Sale Invoice".

23. Populate details

Populate the details of the new Cash Sale Invoice

The main field to populate is the Account field as this will be used when integrating with MYOB

24. Add Lines

26. Save

Once the invoice is finished click on the Save And View option in the Save action menu.

Once the Cash Sale Invoice is saved, the stock is removed from the warehouse's On Hand count immediately.

27. Create invoice in MYOB

This is the same as the steps above to add the Sales invoice to MYOB. (Refer to steps 14-18).
